Dictation Helpful Hints
- If you have call waiting or hold on your phone line, there is a strong possibility that you will be disconnected when the "flash hook/transfer/hold" is used to place dictation on hold.
- If you hear "ENTER PASSWORD PLEASE" the problem could be:
a) You have entered the wrong ID number. (Did you enter preceding zeros?)
b) Your ID number is not in the system yet. (Notify Health Information Dept.)
- If you hear "ENTER ID PLEASE" the problem could be:
a) You are not ending with the # key.
b) The phone is not compatible.
c) The phone system is not compatible.
- If after entering the subject #, you hear "THAT ENTRY IS INVALID," you have entered an incorrect Medical Record Number. Please double check your number, if you are still not sure call the Health Information Dept. and they will be glad to find the correct number for you.
- If you have trouble with NOT being recorded, the problem could be:
a) You are not using 2 to begin/resume recording. (Hearing an intermittent tone.)
b) You are not talking loud enough. (Hearing a continous tone.)
c) The phone system is not compatible.
- If you hear "tones" during your dictation:
a) Intermittent tone - press 2 to begin dictating.
b) Continous tone - speak louder, or directly into the mouthpiece.
c) Triple beeps - press 3 to release "hold" and then 2 when you want to resume dictation.
