"Why shouldn't we share passwords or login IDs?"
Account sharing is against UUHSC policy for all systems and applications, and in any situation. You are accountable for anything that happens under your login ID and password. If you share an account that can access Protected Health Information (PHI), you are in violation of federal law. If you use an Electronic Medical Record system without individually logging in, this could potentially be considered practicing medicine without a license. Account sharing on systems which use electronic signatures puts the organization in a status of non-compliance with specific federal regulations. Non-compliance with federal regulations such as 45 CFR 160, 163, 164 and 21 CFR 11 expose the university to the risk of sanctions, fines, reputational loss, and lost revenue from sponsors of clinical trials and compensation from insurance companies.
When are new employees added to the system?
Most new employees are added to the the system one day after HR enters the Employee’s info into PeopleSoft. If you are not sure the employee has been added to PeopleSoft, please contact your HR representative.
"What should I do if someone asks me to log in for them or asks me to log in with their password?"
Using someone else's password or allowing them to use yours is considered account sharing and is against UUHSC policy. Contact Information Security and Privacy Office at 587-9241.
